The GCE O Level Chinese examination is a crucial assessment for secondary school students in Singapore, which is usually taken at the end of Secondary 4. In Paper 1, students are assessed on their writing skills through two sections: situational writing, which involves composing an email, and essay writing. What is the email format for the O Level Chinese exams, and how can students score well in this section? Let us dive into the Chinese email format for O Levels, as well as the types of emails and useful Chinese phrase banks that students can learn to enrich their writing skills.
What Is Email Writing in O Level Chinese Paper 1

Email writing is the first part in Paper 1 (Writing – 写作) of the O Level Chinese examination. It tests how clearly students can convey their ideas, write in a tone that suits the context, and tailor their language to the intended audience. Also known as the Functional Writing (实用文) section, this part requires students to choose one of two email prompts to write about. The email should be at least 150 characters.
Types of Emails (CL and HCL)
Chinese Language (CL, 快捷)
- Informal Email (私人电邮): This type of email is usually written to friends or family in a warm, conversational tone, discussing simple matters such as class problems or holiday plans. Students who choose this question should ensure that their writing reflects personal closeness with the recipient.
- Formal Email (公务电邮): Used for professional or official communication, students may be given the option to write an email to a school or an organisation. Students should write in a more serious tone and use respectful salutations.
Higher Chinese Language (HCL, 高级华文)
- Informal Email (私人电邮): Similar to CL, Paper 1 for HCL students also offers the option to write personal emails to friends or family. For HCL, the emails should have more sophisticated vocabulary and sentence structures, which reflects students’ deep understanding of the Chinese language.
- Letter to Forum (论坛): This is a letter addressed for a public audience, where students are asked to respond to an article or news topic. For this option, students should express their thoughts on a particular matter and support them with clear reasoning, such as a new school or neighborhood regulation.
- Situational Email (情境电邮): Recently introduced in the 2024 examination format, the HCL email option now includes writing an email from a government official’s perspective Students should show a strong understanding of the issue being discussed, offering practical suggestions to address residents’ queries.
O Level Chinese Email Format
To achieve a high mark in the Functional Writing section of Paper 1, students should be familiar with how to structure their email in an organised way. Below is a breakdown of the Chinese email format in the O levels:
1. Subject Line (主题)
The subject line should be concise and informative, clearly stating the purpose of your email.
Some of the examples are:
- Informal Email: Use “回复” before the subject for a personal touch. For example, when writing to a classmate to ask their opinion on a certain matter, you can use the subject line: 回复:请教看法
- Formal Email: Keep the subject line brief to state the email’s purpose. This can be complaints (投诉), praise (表扬), or feedback (反映). For example, for a complaint email about littering in the HDB block, students can use the subject line 投诉组屋楼下有人乱丢垃圾并提出改善建议.
2. Salutation (称呼)
Using appropriate salutations shows that you understand the tone you need to establish for your email and will help create cohesive writing overall. In informal emails, you can directly address the recipient by their name to show your personal connection to them, such as a friend or relative. On the other hand, for formal emails, make sure to address the recipient by their surname and job title, such as 王主席 or 陈局长, and avoid informal greetings.
3. Opening (开头)
The opening paragraph of your email should clearly state the purpose without mentioning too many details. If you are writing an informal email to a classmate, you can begin with a friendly greeting, such as “你好!最近我有一些功课上的问题想请教你,方便的话可以帮我看看吗?”
If you are writing a formal email, start by introducing yourself politely and mention the reason for writing.
For example, when writing an email to your school principal, you can start with, “尊敬的王校长:
您好!收到您关于校园安全周的通知后,我写这封邮件是想提出一些具体的活动建议。”
4. Body (内容)
The body is the main part of the email format in the O Levels. Although it is where most of the information is written, it should also be concise and easy to read, using appropriate vocabulary and sentence structures.
For example, a student chooses the option to write a Letter to Forum in the HCL paper. The prompt asks students to respond to a local newspaper article in which authorities propose a 10:00 PM curfew on all outdoor amplified music. Here is part of the body email that you can write, stating your stance clearly:
“总的来说,我不完全同意统一的晚上十点宵禁。虽然我理解居民对噪音的投诉,但完全禁止所有户外音乐可能过于严厉,也会打击街头表演者的热情和生计。”
Students should also provide specific details or examples to support their opinion, and include suggestions or alternative solutions to make their writing more well-rounded. An example is: “因此,与其设定固定宵禁时间,不如规定全天任何时段的最高分贝限制,并由有关当局进行抽查。”
5. Closing (结尾)
After the body of your email, you should briefly refer back to your email’s purpose and express your hope for their reply. Maintain the same tone you established from the start, whether it is a formal or informal email. For an informal email to a relative, you can write, “我就此停笔。希望我的建议𝌀 祝好 !”
6. Signature (署名)
End the email with a signature after leaving one line of space after the closing. For an informal email to a friend, students can simply write “你的朋友,” followed by their name. In formal emails, add “启” after your name to show formality and respect, such as “林荫慧 启”.
